Collection of personal information

We collect personal information such as name, phone number, email address, and residential address, as well as the names of important people in a person’s life.

We collect personal information surrounding a person’s emotional, physical and mental wellbeing, medical and/or psychiatric history, and the circumstances of their life’s past, present and future including safety risks.

We collect financial information for the purpose of payment for services provided through our booking system which may store financial information for the purpose of billing future bookings in advance in line with our Fee and Payments Policy.

  • Online via our website forms and quizzes, and our online booking system

  • By email and SMS

  • Verbally during phone calls, or during consultations and counselling sessions

  • Contact with referrers such as GP’s, specialists, other health professionals, other services and service providers.

Why we collect personal information

We collect personal information to be able to assess and provide appropriate counselling services to clients, as well as to be able to contact prospective and current clients to arrange appointments if required.

Storage and security of personal information

We are required to store information for a period of seven (7) years, and longer for the information of minors. Once this timeframe has passed, we destroy all soft and hard copies.

We take measures to protect any personal information collected, such as using password locks and anti-viral software, physical locking cabinets in a locked premises, and shredding physical copies. Any software we use for the collection of information and running telehealth sessions is selected by the service provider's ability to provide a secure product.

Access of personal information

A client may access their file upon request, however there may be a fee applicable to account for the time spent to provide this access. Only approved practitioners may access a client’s file. At times we may be subpoenaed to provide files or to make a verbal presentation to the courts during legal proceedings; in which case we are legally obligated to provide access to a client’s file.
